This site is operated by Analog + Digital, doing business as Clinic Pilot. We're based in Vancouver, British Columbia, and our clients are healthcare clinics across BC, not their patients. If you have questions about this policy or your information, email mark@analog-digital.co.
We collect two kinds of information: what you type into our forms, and what your browser sends us automatically.
Contact form. Name, email address, and your message.
Intake form. Name, clinic name, email address, city or postal code, the services your clinic offers, number of practitioners on staff, rough appointment utilization, and the booking software you use.
Both forms include a hidden field that helps us block automated spam, and a field that tells us which page the submission came from. Neither is used to track you.
Automatic data. Like most websites, this one loads Google Tag Manager, which can set cookies and collect standard technical data — your IP address, browser type, device, and the pages you view — as described below.
This site uses Google Tag Manager (GTM), a script that loads on every page. GTM itself can set cookies and is capable of loading additional tools, such as analytics, if we choose to add them later. We are not currently running detailed analytics through GTM, but the container is in place and may be used for that purpose in the future.
You can control or block cookies through your browser's settings, and Google offers a browser opt-out add-on for its own analytics tools. Blocking cookies won't affect your ability to submit our forms.
We use a small number of outside services to run this site, and each of them processes some of your data on our behalf:
Web3Forms receives and relays form submissions by email. It does not store your information in a database on our behalf — it simply forwards it to us.
Google operates Tag Manager and Google Fonts, both of which load on every page. Google Fonts receives your IP address in order to serve font files. Google Tag Manager can set cookies and collect technical browsing data.
These providers may process and store data outside Canada, including in the United States. Where that happens, your information may be accessible to courts, law enforcement, or national security authorities in that country under their laws. This is a standard risk of using US-based cloud infrastructure, and we've noted it here as required under BC's Personal Information Protection Act.
We do not sell your personal information, and we don't share it with anyone for their own marketing purposes.
We use what you submit to respond to your inquiry, prepare the treatment plan or information you requested, and, only if you ask, follow up about our services. We don't use it for anything else.
Form submissions arrive as emails and are kept in our business email account. We don't run a separate database or CRM, and we don't have an automatic deletion schedule. If you'd like your submission deleted, email us and we'll remove it.
Under Canadian privacy law, you can ask to access the personal information we hold about you, correct it, withdraw your consent to our use of it, or have it deleted. To do any of these, email mark@analog-digital.co and we'll respond promptly.
If you're not satisfied with how we've handled your information, you can complain to the Office of the Privacy Commissioner of Canada or, since we operate in British Columbia, the BC Office of the Information and Privacy Commissioner.
This site is a business-to-business service aimed at clinic owners and managers. It isn't directed at children, and we don't knowingly collect information from them.
We may update this policy as our services or the tools we use change. We'll update the date below when we do. Continued use of the site after a change means you accept the updated policy.
